Minutes of the Committee Meeting held at 17 Churchill Road on Wednesday 16th February 2005

3  MINUTES OF PREVIOUS COMMITTEE MEETING

The minutes were agreed and signed

 

4  CHAIRMAN/MATTERS ARISING

The chairman sent apologies regarding his unavoidable absence. The Vice-Chairman, Phil Gough, took the chair. Thanks were given to committee member, Cathy Maslin, who is standing down from the committee at the AGM in March, for all her help over the past year.

 

5  SECRETARY

5.1 One letter received from Bupa Care Homes, inviting us to a preview day to the changes made at Eglantine Villa in Horton Kirby. Unfortunately, no-one was able to attend the open day.

5.2 Letters of thanks sent by secretary to the following:-

5.3 The secretary queried whether the Society’s minutes were put on the Horton Kirby website on a regular basis. It appears that Ken Allart has taken responsibility for this task.  AP Ken Allart

6  TREASURER

6.1 Current Account      £1981.39

The Lottery licence has been requested and paid.

6.4     £974 has been banked from the two major events.

6.5     The Village Society has offered to pay the hire of the village hall for the fund-raising event for the Tsunami appeal on 18th February.

6.6     The Village Shop is donating £70 to the HKVS from the proceeds of their Christmas raffle.

 

7            FEEDBACK ON RECENT EVENTS

7.1     ‘Two for 1.9s’ 8th January. Very popular. Universally enjoyed.

7.2     Quiz on 14th January – 24 tables, raised over £600

 

8            FUTURE EVENTS

8.1     AGM 18th March. Arrangements are in hand. It was agreed to hold an Extraordinary General Meeting immediately before the AGM, in order to make minor changes to the constitution, according to Article 12 and refers to Article 9 of the constitution regarding methods of election of the executive committee.          AP Committee

8.2     Murder Mystery 23rd April. Deposit has been sent off, but no acknowledgement so far. Cost to be the same as last year, £7

8.3     MYM, date fixed for 28th October.

8.4     Barn Dance – will definitely be in the village hall on 7th October. We will monitor numbers. If less than 60, we will not continue to promote this event. The dance was much more popular when it was held in the barn at Court Lodge Farm.               AP Graham

8.5     Summer Fayre. The sub-committee have arrangements in hand. A new stall this year will be a ‘Games Corner’ run by the scouts & cubs. We will not run a separate cake stall but can sell cakes from the tea stall if necessary. To be discussed by the catering sub-committee.

8.6     Walking Group. The next walk on 20th March will be led by John Hipwood. A question was posed by one of the committee members, if the frequency of the walks is likely to increase during the summer months.

8.7     Summer Concert. No response from The Guildhall School of Music yet.                                                   AP David

8.8     Summer Outings. The Seniors outing to Brighton in 2004 was very popular, and we shall visit the same venue again in 2005. The visit to Herstmonceux was only taken up by 2 families. If possible we will ask people who went on the outing if they thought Hastings was a suitable destination for the families day out.        AP Committee

 

9            NEWSLETTER

The next newsletter will go out at the end of April/beginning of May.

 

10       ENVIRONMENTAL NEWS

10.1  There will be a tidy up of the Burial Ground on 6th March and attention given to a corner of land that has been neglected, opposite Bexley Cottages in The Street.

10.2  Eglantine Villa will take an owl box and a bat box

10.3  February is the RSPB’s nest box month. People are being encouraged to put up nest boxes for sparrows & blue tits in their gardens. The village clean up is on 20th February. More grabbers to be purchased. There has been a limited response to HKVS’s appeal for people to take responsibility for clearing litter in streets/lanes where there are few or no dwellings. Those who have offered their help, already clear roads in addition to organised clean up days. To promote again at AGM.                             AP Committee

 

11       ANY OTHER BUSINESS

11.1 There is a sum of £50 outstanding from HKVS to the Youth Club for equipment purchased.

11.2  Suggestions have been made for a ‘Snap Disco’ for young people where the police are aware of the event and keep a presence there or pop in/ make spot checks. More info needed.        AP Phil

11.3  Garden Competition. Kerry will take this on, helped by Cathy, who will not be a committee member when the competition takes place at the end of May/beginning of June. There will just be 2 categories:-

a)                 Best front garden

b)                Best container or hanging basket

Garden vouchers will be awarded to the winners.

11.4  Flower Festival at the church, 15 – 19th September. It is hoped that Adriano will perform, assisted by 2 female members from GSM. It would be preferred that the concert can be on Saturday 17th.

11.5  Mill site, South Darenth. Fairview Homes are willing to listen to local views. The existing exterior wall and the mill chimney to be retained.

11.6  St. Mary’s Church has applied for the faculty re building permission. Friends of St. Mary’s will be set up soon.

11.7  Churchyard gardening/maintenance days on first Saturday in each month.

11.8  Discussion took place on Risk assessments for village societies and     amateur groups organising walks and events in rural areas. The committee felt that this was a nonsense, but members did feel vulnerable when clearing up litter in the lanes. It was thought we could purchase a supply of high visibility jackets to use on these occasions. Cost would be minimal.

11.9 The group that presented the very successful ‘ Titfield Thunderbolt’  were planning a new event that would be publicised shortly. We need to reserve available dates in the village hall.
