Minutes of the Committee meeting held at 11 Rashleigh Way on Wednesday 5th January 2005

MINUTES OF PREVIOUS COMMITTEE MEETING

AOB. Date of Summer Fayre confirmed as 11th June 2005. Richard to confer with church & school, not David. The minutes were then agreed and signed by the Chairman.

 

CHAIRMAN/MATTERS ARISING

The Chairman thanked Vice Chairman, Phil, for standing in at the Mid year meeting and offered apologies for his unavoidable absence.

 

SECRETARY

Thank you letter received from Elsie Kellett. Does the committee require the secretary to send letters of thanks to  Halstead Concert Band & The Fighting Cocks P.H. for their contribution to the annual carols event, and also to Keith Phillips for churchyard maintenance.

 

TREASURER

Current Account    £2,410.64

Church Account    £3,026.04 including £257.00 from the Church Concert to be paid in.

 

The Lottery licence has been received, £17.50

Public Liability Insurance is due, £411.10, a slight increase on previous year.

We still have to pay £200+ for Titfield Thunderbolt performance. Profit - £150

Deposit has been paid for Murder Mystery Evening on 23 April - £99.88

Total cost will be £425

The Village Store is donating profits from their raffle to the two Village Societies.

 

 

 

FEEDBACK ON EVENTS

a)                 Mid year Meeting – all went well. People tended to stay around chatting

b)                Titfield Thunderbolt – Excellent entertainment. Very amusing

c)                 Church Concert – Enjoyed by all. Perhaps Adriano will return later in the year

d)                Carols at The Fighting Cocks – A disappointing turnout. Apart from members of the HKVS committee, there were very few locals to be seen. Perhaps we should advertise the event specifically in future rather than just as an item in the newsletter.

e)                 New notice board. A very good job by John Chenery & Rob Chenery.  Thank you letters to be sent.          AP. Secretary

 

FUTURE EVENTS

a)                 Two for the 1/9s 8th January. Ticket sales slow to start, but now going very well. We have plenty of raffle prizes. Committee to V.H. by 6.45pm to set up

b)                AGM 18th March. Sarah Ward to be invited. Check countdown schedule                                   AP. Secretary

c)                 Mid year meeting. Date booked 28th October.

d)                Barn Dance. Uncertain whether barn will be available. Check if village hall already booked for 14th October. Otherwise book 7th.                                     AP. Graham

e)                 Summer Fayre 11th June. Sub-committee to meet very soon. Phil, Steve, Graham, Richard. Barbara Bradley to be asked to join them.                                                  AP. Sub-comm.

STEERING GROUP. D.V. PAPER MILL

            Next meeting 7.30pm on 10th January. David & Cathy to attend.

          SDC is well down on their supply of social housing.

 

          ENVIRONMENTAL SUB-COMMITTEE

No activity at present. Parish Council have asked if we wish to be involved with the planting of the extension to the 100 year wood. The committee were of the opinion that the P.C. should pay for purchases, but would be prepared to help with the planting, and provide information through their newsletters.

The committee still needs to consider siting of bat boxes & owl boxes

Litter – Individuals to be approached regarding taking responsibility for litter control for their own roads, or in the case of lanes with little or no dwellings, to agree to take over certain sections. Village clean up 20th February. *** Newsletter item.

Idea to be considered --- ‘Adopt a Road Scheme’.

 

ANY OTHER BUSINESS

Cathy had information on ‘Rola trac’ a system of temporary roll up tracking to facilitate the passage of wheelchairs on gravel paths, i.e. the paths in the churchyard. Cost £12.99/square metre. Consult with the Church PCC. There are many problems, e.g. storage, who would be responsible for putting it down, then taking it up after an hour or so? It is possible it would not always be required. We would not know in advance.

Idea put forward by the Scouts regarding a Village Calendar. A photo competition could be held up to June. HKVS could advertise this, but organisation of the calendar and proceeds would go to the Scouts.

Church redecoration. It is not known if any progress has been made.                                                                      AP. Chairman
